About this job
About the role
ATX Writing Club is looking for a Community & Events Coordinator to make our in-person gatherings feel effortless for the writers who attend them. You will help plan and host weekly writing rooms, feedback sessions, author conversations, book clubs, workshops, and salon dinners across Austin. The work ranges from the first venue conversation to the last goodbye at the door.
This is a hands-on, Austin-based role. Some work happens during evenings and on Saturdays, when our community is together. You will work closely with the people shaping our programming and have room to suggest new ways to make each gathering more welcoming, useful, and memorable.
About you
You are the person who notices that a new member has arrived alone, that the chairs need moving, or that a speaker needs a quieter place to prepare. You enjoy the practical details of an event as much as the conversations it makes possible.
You are organized without being rigid, calm when plans change, and genuinely curious about the people and creative spaces that make Austin what it is. You do not need to be a published writer. You do need to believe that a room can help someone keep going with their work.
What you'll do
- Coordinate the calendar, venue details, supplies, run-of-show, and on-site setup for regular member events.
- Welcome members and guests, make introductions, and help first-time attendees feel at ease.
- Stay in touch with Austin venues, independent bookstores, writers, instructors, and other local collaborators.
- Support speakers and facilitators before, during, and after their events so they can focus on the conversation.
- Track RSVPs, accessibility needs, attendance, and follow-up notes with care and discretion.
- Collect member feedback and bring practical ideas back to the team to improve the next gathering.
- Handle the small surprises of live events with warmth, good judgment, and a willingness to pitch in.
What we're looking for
- Experience coordinating events, hospitality, community programming, or a similarly people-centered operation.
- Strong written communication and reliable follow-through across several moving deadlines.
- Comfort hosting a room and working with a range of personalities and creative practices.
- Availability for recurring in-person work in Austin, including some evenings and Saturdays.
- An eye for inclusive details, from clear directions to accessible seating and thoughtful introductions.
- Familiarity with Austin neighborhoods and independent cultural spaces is welcome, but not required.
Working with ATX Writing Club
This is work you can see and feel. You will watch a hesitant first-time visitor find a table, hear a writer share pages for the first time, and help turn a one-off evening into a lasting local connection. Our club lives in Austin rooms, not in a comment thread; you will get to know the people and places behind it.
We are a small, founder-led team that values kindness, judgment, and doing the unglamorous things well. You will work near the members you are serving, help shape the experience as we grow, and have the satisfaction of making space for more writing to happen.
You do not need to match every line above. If your experience would help make this an even better place for Austin writers, we would like to hear from you.
